Summer 2023
We are sad about the departure of one of our E-Resources Specialists, Pauline Bickford-Cline, but are happy that we still get to see her on the FLVC listservs and help tickets (and at Gainesville Roller Rebels bouts!).  We are making progress in our search for a new Accounting and Serials Unit Fiscal Assistant as well as a new Electronic Resources Specialist and hope to introduce new hires next newsletter!  Check out our organizational chart here!

A Few Exciting Updates!
- We are able to support the replacement of many books lost in the Library West flood, particularly in the LCC classification HQ.  Books have already started being ordered and processed and there will be more to come!
- We were able to order hundreds of great children's and young adult books in important topics like those in the photos above.

Get to know our Acquistions & Collections Services Chair, Erin Gallagher!
What am I most proud of as Chair of Acquistions & Collections Services?
This is an easy one! I’m most proud of my brilliant team in Acquistions & Collections Services. We’re 17 highly-skilled adults spending several hours a day together, five days a week, working to ensure the entire UF user community has access to the materials and collections they need and want. This goes beyond pushing buttons in vendor systems; we’re people with diverse interests, passions, and working styles. Things aren’t always sunshine and Twinkies. That many folks spending that much time together will face struggles from time to time. But they recognize the value in working together in support of a shared goal, and they do so with empathy, respect, and generosity. They delight in seeing each other succeed and grow. I’m proud to have contributed even a crumb to our supportive Department culture.

What do I plan on doing my next holiday day off?
Fun answer: spend some time volunteering at Peacefield Farm Sanctuary, go for a run on the Hawthorn Trail, read on my porch, and have a chill dinner with friends. Real answer: probably working on my tenure and promotion packet.

What did I want to be when I grew up?
Nothing major, just a professional ballerina and then a marine biologist and then an author. I figure librarianship is somehow a combination of all three...?

My biggest strength at the moment is…
Being a good listener, both to human and animal friends.

What would I like to learn?
Any sort of woodworking/carpentry skills. I’m hoping to be a homeowner at some point in the future and would love to be able to tackle projects without slicing off a finger.

One thing we are working to improve…
In Acquisitions & Collections services, we’re working to improve information-sharing and outreach from our Department. We’ve ramped up tutorials and training materials on our website and have been more involved in library-wide events such as Fall Fest. We’re also being more intentional about attending branch/department/area collections meetings and providing outreach to new selectors. As much as we love it up here on the 4th floor, it feels good to get out and about and to illuminate the value of who we are and what we do.

I really appreciate…
Small moments of kindness and thought. Like when folks bring baked goods into the office and I then eat these baked goods. Or when my cat decides to barf on the hardwood floor instead of on a rug.

My main priorities at work next year are…
Hopefully getting (and staying) fully staffed. Achieving tenure and promotion! And most importantly, figuring out how to smuggle our pets into our offices...

- Charleston Conference call for presentation proposals are now open and our department has some great ideas!
- Some of us toured FLARE, conservation/preservation, and digitization (ILF building).  Thank you to our Marston friends for inviting us, and our FLARE friends for the wonderful tour!  Like Acquistions & Collections Services, they are often behind-the-scenes, but oh so important!  
- Erin Gallagher will be co-leading focus groups this summer for library folks who have used the Diverse Bookfinder website and Collection Analysis Tool (making use of new Assessment Incentives program).  John Jack and Jason Heckathorn are also on the Diverse Bookfinder Committee doing important work!  
- Fall Fest 2023 meetings have started and we picked a theme!  "Libraries Give You Superpowers!"  I am working on the T-Shirt again this year, and we have some great ideas to make this the best Fall Fest yet!
- We've had a great time participating in Alex Avelino's new initiatives for DEIJ Observances, including "Out Louds" in June.  "We are promoting literature through lived experiences!"  Actually, we are excited about all of Alex's enthusiastic contributions and ideas so far.
- Neflin Academic Libraries Interest Group was held at Marston Science Library and had some great information, tours, and networking!  
- Verna Bedford joined the Employee Recognition Committee!

We had a great 4th Floor Smathers Spring Cleaning day with our Resource Description Services colleagues.  Special thanks to the employee recognition for funding so we could eat some pizza too!  We used the time to declutter and organize shared and personal spaces, whether physical or digital.  It was great to work on areas I'd been wanting to clean up or re-organize but struggled to find time to do so.  We also ended up with a big tower of take-it-or-leave-it items!

"Good Morning!"  Check email, calendar, and start daily to-do list to help prioritize tasks.  It's my week to monitor AcqHelp email so I start uploading invoices and answering some questions.  Moving onto personal email: one selector wants to initiate a new vendor setup for ACH, another has requested an analytics report on a specific fund, and ASU has let me know my PCard expense report is ready for review and submission in UFGO.  Next look at AcqOrder email; my name is flagged for an endowment approval stream that has been completed in DocuSign, a spreadsheet of materials to order for a grant with the Education Library, and I have six other purchase requests from selectors. While I'm looking, three more come through!  I package up a return to a vendor who sent the wrong edition and return a phone call.

Time to go open mail, so exciting!  Today I get two invoices, four boxes of children's books, a box of large coffee table books, a box of music scores, a rare book in a cushioned bed of bubble wrap, paper, and so much tape, some vintage Cuban comic books from Ebay, a board game, and a giant poster!  I stop to carefully admire the handwritten bookplate in the rare book, laugh at one of the children's book's silly illustrations, and flip through a beautiful photography book.  I verify I've been sent everything on the invoices, recycle the boxes, and load everything onto my cart.

Receive in Alma, print slips, and bring to RDS rush books I ordered for course reserves and some rare materials, including vendor descriptions to assist.  Meet with a curator about some LACC materials I ordered.  Run the analytics report from earlier, address more emails, and process PCard invoices in UFGO.  Post the invoices in Alma, verifying prices, POLs, and vendor status, and upload the invoices to SharePoint for our Accounting team to review and pay.  Email accounting to let them know another expense report is ready in UFGO. 

Noon - Time for lunch!  Yay, my favorite bench dedicated to Nelson Mandela is available, and I eat while reading my cozy mystery.  

1:00 pm: Meet with the CSU/ERU teams and discuss ongoing projects, issues, procedures, and short and long-term goals.  There are a lot of questions but some good answers too.

2:00 pm: Attend a committee meeting.  I am really excited about this year's Fall Fest and the ideas everyone has for it.

Receive some more books, send some more emails, and update some things on the selector resources page on our department website.  This reminds me to add some things from the last department meeting notes to my Teams planner bucket for the next department newsletter.  Bring some materials going into ArchivesSpace downstairs, then take a break outside.  I love working at the oldest library on campus, so pretty!

Approve Rialto Market selections in Alma.  Reject some due to stock issues make a note to order elsewhere.  More emails. 

Spend the rest of the day creating POLS in Alma and ordering more great materials for the libraries!

So much work and consideration went into gaining access to these valuable new resources.  Thanks to Pat and the Collections Committee for reviewing and honing the wish list and for authorizing these new purchases.  Special thanks to all subject selectors who provided insight into these possibilities.  And major thanks to the E-Resources and Accounting teams in Acquisitions & Collections Services for working with our vendors to ensure these new resources were in place and accessible so quickly and efficiently.  All this work combined allows us to grow and enrich our collections in diverse areas. 

It’s exciting to gain access to such rich, primary source collections and archives!

Several of us attended the virtual The Conference on Academic Library Management this year.  There was great feedback from all - check out recordings of the presentations here: CALM Conference - YouTube.  

- Jason Heckathorn highlighted an article from the opening keynote (keynote was about the Indian Land Tenure Foundation) Land-grab universities (Land-Grab Universities) — High Country News – Know the West (hcn.org)

- Sara Peden reflected "CALM conference's transparency about going beyond land acknowledgements is so refreshing and uplifting." We will reveal the process for asking our CALM community to join us on this journey to reject the performativity of land acknowledgements, to examine our own individual relationships with the land we occupy, and to engage in meaningful activities to support reparative action for Indigenous communities.

- If you like the font I used for our header images, I discovered it during this conference!  It's called Open Dyslexic, a typeface designed against some common symptoms of dyslexia, and it's free to download!

- Sheri Edwards shared "That was a very moving keynote; one of the best I've ever heard at a conference."
